Who we are

OpenSheets is a free library of UK business and bookkeeping templates at opensheets.co.uk. It is run by Aligned Logic Ltd, the company behind Aligned, free Making Tax Digital bridging software. Aligned Logic Ltd is the data controller for any personal data covered by this notice.

What we collect

In normal use of OpenSheets, almost nothing. Here is the full picture.

Downloading templates

You do not need an account, and you do not give us your details to download. Excel files download straight to your device. When you open a Google Sheets copy, that happens on Google's servers under your own Google account, so Google's privacy policy applies to that part. We do not see who opens or copies a sheet.

Hosting and server logs

The site is hosted on Cloudflare. Like any web host, Cloudflare processes standard technical information when your browser requests a page, such as your IP address, browser type and the pages you ask for. This is used to serve the site, keep it secure and defend against abuse. We do not use it to build a profile of you or to identify you personally.

If you email us

If you email [email protected], we keep your message and address so we can reply and follow up. We do not use it for anything else.

The MTD-readiness email list

Some pages offer a free MTD-readiness checklist by email. This is optional and separate from the templates, which stay free with no sign-up. If you choose to give us your email address, we will use it only to send what you asked for and the occasional MTD update, and you can unsubscribe at any time. Our lawful basis for this is your consent. We use a reputable email provider to deliver these messages, and we will name it here once the list is live. We do not sell your address or pass it to anyone for their own marketing.

Cookies and analytics

OpenSheets sets no cookies and runs no analytics or tracking scripts. There is no cookie banner because there is nothing to consent to. If we ever add analytics, we will choose a privacy-friendly, cookieless option, and we will update this notice before we do.

Who else is involved

We keep the list of third parties short and only include the ones we genuinely rely on.

• Cloudflare hosts the site and serves it to your browser.
• Google hosts the Google Sheets copies. Opening or copying one is governed by Google's own terms and privacy policy.
• An email provider will deliver the MTD-readiness emails once that list opens. We will name it here at that point.

We do not sell your personal data, and we do not share it for anyone else's marketing.

Data leaving the UK

Some of these providers may process data outside the UK. Where that happens, we rely on appropriate safeguards, such as a UK adequacy decision or the UK International Data Transfer Agreement. You can ask us for more detail about any specific transfer.

How long we keep things

• Server logs are short-lived and managed by our host.
• Emails you send us are kept for as long as we need them to deal with your query.
• If you join the MTD-readiness list, we keep your address until you unsubscribe.

Your rights

Under UK GDPR you have the right to:

• ask for a copy of the personal data we hold about you
• have inaccurate data corrected
• ask us to delete your data where there is no reason to keep it
• object to or restrict how we use it
• withdraw consent at any time, for example by unsubscribing from emails
• ask for your data in a portable format

To exercise any of these, email [email protected]. We will respond within one month. We will not charge a fee unless your request is clearly unfounded or excessive.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Children

OpenSheets is meant for people running a business, and is not aimed at under-18s. We do not knowingly collect data from children.

Other sites we link to

We link to sites such as gov.uk and aligned.tax. We are not responsible for how other sites handle your data, so do read their own privacy notices.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it last changed. If we make a material change, we will make that clear.
